Custom Logo Napkins: What to Confirm Before Ordering

Illustration comparing logo placement on an unfolded napkin and its planned folded presentation.

Quick answer: Choose the napkin size and fold for your table setting first, then check whether the logo stays visible. Review the fabric and decoration together before approving the sample.

How do you choose a napkin that suits your table?

Try the intended fold on a napkin or piece of fabric before deciding the finished size. Place it with the plate, cutlery and any napkin ring you plan to use. Check the folded proportions as well as the unfolded coverage.

Your decision What to check
Size and fold Whether the unfolded size gives the coverage you want and the fold fits the place setting.
Fabric and finish Composition, texture, edge finish and care instructions for the way you intend to use and launder it.
Logo visibility Whether the design is visible, upright and legible after folding.
Quantity Place settings, color or logo variations, and any spare napkins needed for your event or laundry schedule.

A reference picture helps communicate appearance. It cannot establish fabric composition or washing performance; check those separately when comparing options.

Will your logo remain clear at the chosen size?

Send the original vector artwork when available. A clear, high-resolution JPG can also be submitted for assessment; whether it is suitable depends on the design, its intended finished size and the decoration process.

Provide the original file rather than a screenshot when possible. Provide the full Pantone color code, including its suffix, and identify any details that must remain legible. A file extension alone does not establish artwork quality: the actual content must be reviewed at the intended output size.

For an overview of preparing artwork, see our custom design planning guide. The same need to specify artwork size and orientation applies to a napkin brief, while production requirements are assessed for the napkin itself.

How do you keep the logo visible after folding?

Specify placement on the unfolded napkin and check it against the planned fold. Give the logo's width and height, its orientation and its distance from clearly identified finished edges.

State whether placement measurements refer to the logo center or the nearest edge of the design. A marked sketch removes this ambiguity. Then include a second image showing the folded presentation so the supplier can see which area should remain visible.

If the same napkin will be folded in several ways, identify the main presentation for approval. One position may not remain visible in every arrangement.

How do you choose between printing and embroidery?

Printing or embroidery should be assessed against the artwork, selected fabric and intended finish. Discuss the options before treating either process as part of the confirmed order.

Ask how small lettering, fine lines and color changes will be handled at the requested size. Confirm whether the proposed result needs artwork adjustments and whether a physical decorated sample is required. A digital placement image helps explain the layout, but it does not show the actual feel of the decorated fabric.

Our embroidered towel project illustrates why the textile and logo specifications should be recorded separately. It is a towel example, not evidence of identical performance on napkin fabric.

What should you check before approving the sample?

Check the sample against the written specification, including the unfolded measurements and the folded presentation.

  • Confirm the material, color and edge finish against the agreed reference.
  • Measure the logo and its position from the agreed edges.
  • Check lettering, orientation and visibility after folding.
  • Review the feel and appearance of the decorated area.
  • Agree the care instructions and any wash checks needed for the intended use.
  • Save the approved specification version and record any changes before production.

A sample photograph can show layout and visible details. It cannot establish a guaranteed service life or number of wash cycles. Any such requirement needs separate evidence and agreement.

For coordinating table linens, use our tablecloth measurement guide to specify the table dimensions and preferred drop separately.
